Executive Administrator

Hand Plus Robotics is Executive Administrator to join a multidisciplinary product development team with a devise background. The role will primarily consist of overseeing administrative operations of the business, in charge of the company’s day-to-day functions as well as supporting the technical staffs. Roles and Responsibilities:

 

As an executive Administrator, you will be providing day-to-day operational support of the company specifically in the following

  • General Admin

    • Manage CEO/CTO’s schedule

    • Coordinate client visits to the office

    • Prepare reports for meetings

    • Keep records of meetings and company events

    • Preparation and updating of company policies

    • Coordination with relevant Government Agencies

    • Coordinate with senior management in running office and lab operations

  • Business Development

    • Help develop marketing plans

    • Assist in maintaining website and social media accounts

    • Researching on marketing materials and preparing them for report consolidation

  • HR
    • Process applications, requests, and other HR forms (including but not limited to checking for correctness, validating data, inputting in HR software, and recommending for decision)

    • Maintain manpower database (Hand Plus uses online HR software)

    • Provide admin support in recruitment (preparation of job description, posting in relevant channels, vetting through applications, recommending those for further processing), on-boarding (briefing on company policies, processing visa application, general orientation of staffs, contract preparation)

  • Light Bookkeeping

    • Process reimbursement claims (including but not limited to checking of submitted receipts, costs, taxes, validating expense accounts)

    • Preparation of purchase orders

    • Reconciliation and managing billing matters

    • Inputting expenses in accounting software

    • Monitoring payment status and updating payment records

  • Reporting to CEO and/or Other Appointed Supervisor

 Job Requirements: 

  • Diploma/Degree from relevant disciplines, preferably in Business Administration / Finance / Accounting

  • Experience in General Administration (HR & Finance) is preferred

  • Proficient in MS Office applications like Excel, Words and PowerPoint

  • Basic skills in data administration and analysis and financial management skills

  • Excellent interpersonal and communication skills

  • Self-driven and motivated

  • Willing to learn and adaptive to changes

  • Good organization skills and meticulous

  • Able to multi-task, be resourceful and work within tight timelines

  • Able to work independently

  • A good team player

  • Fluent Conversational and Reading in English, Chinese and Malay
